How to set up widget triggers


For a trigger to automatically create a record:

Setup:
  1. In the pipeline settings, click on the cell in the stage you need, and then find the trigger for our widget;
  2. Click on the drop-down list and select the type of action "Create record";
  3. Click on the dropdown list and select the type of post to create;
  4. Click on the dropdown list and select the status of the entry to be created;
  5. Select additional options if necessary;
  6. Next, click "Finish" and save the pipeline settings.
Usage:
  1. Precondition - the fields "Employee/Master", "Services", "Contact Name", "Contact Phone", "Contact Email", "Session Date and Time", "Price" must be filled in the lead (only the name is required for a contact). , the rest can be empty, the price can be "0");
  2. In order for the record to be created automatically, you need to take the lead and, if you are in the pipeline, drag the lead to the stage with the trigger set;
  3. Or, if you are inside the lead card, click on the name of the stage in the upper left, and select the one in which you have a trigger; lead will remain at the stage at which you set the trigger (if there are no other additional settings).
For a trigger to automatically delete a record:

Setup:
  1. In the pipeline settings, click on the cell in the stage you need, and then find the trigger for our widget;
  2. Click on the drop-down list and select Action type "Delete entry";
  3. Next, click "Finish" and save the pipeline settings.
Usage:
  1. To delete the record automatically, you need to take the lead with the record linked inside (there must be a record ID and a company ID, as well as other information), and if you are in the pipeline, drag the lead to the stage with the trigger set;
  2. Or, if you are inside the lead card, click on the name of the stage in the upper left, and select the one in which you have a trigger; lead will remain at the stage at which you set the trigger (if there are no other additional settings).
For a trigger to automatically change the status of a record:

Setup:
  1. In the pipeline settings, click on the cell in the stage you need, and then find the trigger for our widget;
  2. Click on the drop-down list and select Action type "Change record status";
  3. Click the drop-down list and select the required Altegio record status to change;
  4. Next, click "Finish" and save the pipeline settings.
Usage:
  1. In order for a record to change its status automatically, you need to take a lead with a record linked inside (there must be a record ID and a company ID, as well as other information), and if you are in the pipeline, drag the lead to the stage with the trigger set;
  2. Or, if you are inside the lead card, click on the name of the stage in the upper left, and select the one in which you have a trigger; lead will remain at the stage at which you set the trigger (if there are no other additional settings).
For a record auto-update trigger:

Setup:
  1. In the pipeline settings, click on the cell in the stage you need, and then find the trigger for our widget;
  2. Click on the drop-down list and select the Action type "Update record";
  3. Optionally, check the boxes "Take recording duration from the field" (in this case, you will need to select this field) and "Take cost from the field" (Then you will need to set the "Price" field and the "Total payable" field);
  4. Next, click "Finish" and save the pipeline settings.
Usage:
  1. In order for the record in YC to be updated with changes in the lead and fields, you need to make changes to the fields;
  2. Being inside the lead card, click on the name of the stage in the upper left, and select the stage in which you have a trigger;
  3. If you are in the pipeline, then you need to drag the lead to the desired stage of the pipeline.
Important note:
If you select "Take cost from fields" in the trigger, it will work only for one service. In addition, adding several services instead of one does not work now. Suppose we add 3 services from amo and there was only one in the record, then it won’t work, but if you change one to one, it will work. If initially there were 3, and you want to change to 3 others, this will not work either. Replace only with one, erase the others.

For the trigger on automatic fixing of payment for the record:

Setup:
  1. In the pipeline settings, click on the cell in the stage you need, and then find the trigger for our widget;
  2. Click on the drop-down list and select Action type "Fix payment";
  3. Click on the drop-down list and select the required field from which data on the payment amount will be read;
  4. Click on the drop-down list and select the required company in which the payment will be fixed;
  5. Next, click "Finish" and save the pipeline settings.

Usage:
  1. To fix payment by record automatically, you need to take a lead with a record linked inside (there must be a record ID and a company ID, as well as other information), and if you are in the pipeline, drag the lead to the stage with the trigger set;
  2. Or, if you are inside the lead card, click on the name of the stage in the upper left, and select the one in which you have a trigger; lead will remain at the stage at which you set the trigger (if there are no other additional settings).
For a trigger to automatically search for available employees:

Setup:
  1. In the pipeline settings, click on the cell in the stage you need, and then find the trigger for our widget;
  2. Click on the drop-down list and select Action type "Check data in Altegio (availability of other employees)";
  3. Click on the drop-down list and select the data search range;
  4. Click on the drop-down list and select which branch to search for;
  5. Click on the dropdown list and select a search criterion;
  6. Click on the drop-down list and select employees/services to search;
  7. Click on the dropdown list and select the salesbot that will be executed on a successful search;
  8. Next, click "Finish" and save the pipeline settings.
Usage:
  1. To launch salesbot automatically, you need to take a lead with a record attached inside (there must be a record ID and a company ID, as well as other information), and if you are in the pipeline, drag the lead to the stage with the trigger set;
  2. Or, if you are inside the lead card, click on the name of the stage in the upper left, and select the one in which you have a trigger;
lead will remain at the stage at which you have set the trigger (if there are no other additional settings).

What won't work without
It is also important that employees have certain accesses in Altegio, which are set in the Settings > System settings > User list > User > Access rights section. We recommend setting access to:

  • View the schedule and records;
  • Changing a record (deleting, creating, transferring);
  • Customer data and adding a customer to the record;
  • Services;
  • View the list of customer loyalty;
  • Client visit history;
  • List of records;
